How can I create a shift?

  1. Go to Rotas

  2. Select Week View

  3. Navigate through the calendar by clicking on the icon

  4. Select your workweek

  5. Click on Add shift

Method 1: Assign shift to employees

Using this option, you'll impose shifts on a list of eligible employees. At the end of the process, employees will receive a notification with the shift details.

  1. Click on Select worker and Next

  2. Choose a work location from your existing list of sites

  3. Optionally, assign a category to the shift

  4. Choose a starting and ending time

  5. Determine the meal break duration: according to HMRC, meal breaks are not counted in the working time.

  6. Set the total rest break duration

  7. Click on Next

  8. Optionally, if you want to make sure that your employee is available for the shift, you can require an answer from them by ticking "worker as to confirm shift"

  9. Tick Only show workers assigned to location "location name" if you want only to display employees assigned to the specific site on the search engine.

  10. Type the employee's name you are looking for in the search bar

  11. Click on the + sign to add them to the shift

  12. You can add as many employees as you need to the shift

  13. Click continue

Method 2: Create an open shift

Using this option, you'll create a list of eligible employees who will be able to apply to the created shift. At the end of the process, employees will receive a notification with the shift details.

  1. Click on Open shift and Next

  2. Choose a work location from your existing list of sites

  3. Optionally, assign a category to the shift

  4. Choose a starting and ending time

  5. Determine the meal break duration: as per HMRC rule, meal breaks are not counted in the effective working time.

  6. Set the total rest break duration

  7. Click on Next

  8. Enter the total workers required needed

  9. Select the shift attribution mode

    1. First win: the first eligible employees replying to your offer will get the slots.

    2. Send application: you will assign the available slots amongst the eligible employees who replied to your offer.

  10. Tick Only show workers assigned to location "location name" if you want only to display employees who are assigned to the specific site on the search engine.

  11. Type the employee's name you are looking for

  12. Click on the + sign to add them to the shift

  13. You can add as many employees as you need to the shift

  14. Click continue
